This policy explains how we process and protect personal information.

UniONE IP Law Privacy Policy

UniONE IP Law complies with the Personal Information Protection Act and other applicable laws and establishes and publishes this Privacy Policy to process and protect personal information safely.

Purpose of Processing Personal Information

UniONE IP Law processes personal information to the extent necessary for the following purposes.

  • Reviewing and responding to consultations and inquiries
  • Assessing the possibility of consultation and engagement and providing information on fees and procedures
  • Receiving online applications and reviewing the submitted instructions
  • Filing, registering, maintaining and managing patents, utility models, trademarks, designs and other intellectual property rights
  • Handling examination, trial and dispute proceedings, renewals and annuities, changes and corrections, and other follow-up procedures
  • Identifying applicants, inventors, creators and other relevant parties
  • Communicating with and managing professional relationships with clients, foreign counsel and other persons involved in the work
  • Confirming prior consultations and instructions and the existence or scope of a representative relationship
  • Managing business records and matter files
  • Confirming disputes and potential liabilities and responding to legal claims
  • Providing online services, managing submission status, responding to service failures and preventing misuse

A telephone or email consultation, online inquiry, or online application does not by itself establish an attorney-client or other engagement relationship.

If UniONE IP Law intends to use personal information for a purpose different from those stated above, it will confirm consent or another lawful basis under applicable law.

Categories of Personal Information Processed

Consultations and inquiries

UniONE IP Law may process names, contact details, affiliations, inquiry details and other information provided by a data subject during a telephone or email consultation.

For an individual, name, nationality and address; for a corporation or organization, name, country of establishment, address and representative's name; and the status and number of any Korean Patent Customer Number

Names, nationalities and addresses of inventors and creators

Information relating to national research and development projects and additional requests

File name, format and size, and the contents of files submitted by the data subject

Receipt number, receipt and processing status, number of attachments, time of privacy consent, and notice version

Information that may be processed through separate security procedures

When necessary to obtain a Korean Patent Customer Number, verify identity, establish authority or complete a related administrative procedure, UniONE IP Law may request, through security procedures separate from the general online inquiry and application pages, resident registration numbers, alien registration numbers and other Unique Identifying Information under applicable law; original identity-verification materials such as identification documents; seals, signatures, powers of attorney; and similar materials concerning authority to act. These materials are requested only when operationally necessary and are not requested through the general online attachment area.

Information that may be generated while using the service

In the course of operating and securing the service, information such as the access IP address, access time, requested address, browser and device information, session information and response status may be generated.

Processing and Retention Period

UniONE IP Law retains personal information for periods required by applicable law or for as long as an operational need for retention continues, including assessing consultation and engagement, handling matters and obtaining, maintaining and managing intellectual property rights, completing follow-up procedures, confirming prior consultations, instructions and representative relationships, communicating and managing professional relationships with clients and foreign counsel, managing business records and matter files, confirming disputes and potential liabilities, and responding to legal claims.

Business contact information
Names, companies or affiliations, titles, business email addresses, telephone numbers and similar information may be retained for as long as needed for follow-up communications and management of professional relationships.
General attachments
Invention and utility-model descriptions, drawings, product and design materials, trademark materials, contracts and supporting documents, existing-rights materials and other general attachments may be retained as part of a matter file for as long as needed to handle the matter and manage the relevant rights.
Unique Identifying Information and original identity-verification materials
Resident registration numbers and other Unique Identifying Information, together with original identity-verification materials, are destroyed without delay when they are no longer needed for the relevant administrative procedure, identity verification or related work and there is no other legal basis requiring retention.
Seal, signature and power-of-attorney materials
Seals, signatures, powers of attorney and similar materials may be retained in a storage area subject to enhanced access controls for as long as needed to verify registration details, changes and corrections, prior representative relationships or patent-administration matters.
Draft online applications and temporary attachments
Draft online application information and temporary attachments are stored temporarily on the server to support preparation and restoration of an application. The current retention standard is 14 days, and the actual deletion time may vary depending on when the system cleanup process runs. This period is distinct from the retention period for submitted applications and matter files.

When an operational need for retention has ended and the personal information is no longer necessary, it is destroyed in accordance with applicable law and the firm's internal records-management standards. If applicable law prescribes a separate retention period, that period takes precedence.

Provision of Personal Information to Third Parties

UniONE IP Law processes personal information within the stated purposes and does not provide it to third parties unless the data subject has separately consented, applicable law provides a specific basis, provision is permitted under applicable law for entering into or performing a contract or carrying out work requested by the data subject, or another circumstance permitted by applicable law applies.

After a formal engagement, if personal information needs to be provided to domestic or foreign counsel, government authorities or other persons involved in the work to obtain or protect rights, handle examination, trial or dispute proceedings, or otherwise conduct the matter, UniONE IP Law follows the notices and procedures required for the relevant work and legal basis.

Outsourcing to external service providers and overseas transfers are described in the following section.

Outsourcing and Overseas Transfer of Personal Information

UniONE IP Law outsources certain personal-information processing activities to specialized external service providers to provide the website and online inquiry and application services and to support internal business operations. Through outsourcing agreements and other measures, UniONE IP Law manages and supervises matters required by applicable law, including secure processing, prohibition of processing beyond the stated purposes and access controls.

Destruction Procedures and Methods

UniONE IP Law destroys personal information without delay when it is no longer necessary because both the applicable statutory retention period and the operational need for retention have ended.

  • Electronic personal information is deleted in a manner designed to make recovery or reconstruction difficult.
  • Paper documents are shredded or destroyed by another secure method.
  • Personal information that must continue to be retained under applicable law is stored separately from other information to the extent necessary.
  • Resident registration numbers and other Unique Identifying Information, together with original identity-verification materials, are destroyed without delay when the operational need for the related work has ended and there is no other legal basis requiring retention.
  • If a backup or replica cannot be deleted immediately, use of the information in ordinary business is restricted and the information is handled under the applicable retention and deletion procedures.

Rights and Obligations of Data Subjects and How to Exercise Them

To the extent provided by applicable law, a data subject may request access to, correction or deletion of, or suspension of processing of their personal information, and may withdraw consent. These rights may also be exercised through a legal representative or a duly authorized representative.

A request may be submitted to the privacy contact listed below. After confirming the identity of the data subject or the authority of a representative, UniONE IP Law will process the request in accordance with applicable law. Please provide accurate information so that the personal information and rights of others are not infringed.

Measures to Ensure the Security of Personal Information

Considering the nature and risks of the personal information it processes, UniONE IP Law applies the following technical and administrative safeguards.

  • Restricting access to personal information and applying the principle of least privilege
  • Managing personnel who handle personal information and maintaining security
  • Protecting data in transit and controlling server access
  • Storing temporary attachments being prepared and submitted materials outside publicly accessible web paths
  • Applying a separate security area and enhanced access controls to Unique Identifying Information and original identity-verification materials
  • Managing access and processing records and responding to anomalous activity
  • Inspecting and improving the service and processing environment to maintain security

Automatic Collection Devices or Technologies

Temporary storage of online applications

To support automatic saving and continuation while an online application is being prepared, the general draft application, attachment information and original files entered by the user are stored temporarily in server storage outside publicly accessible web paths. The browser does not store the draft text or original attachments. After final submission, the receipt number and submission time may be stored in the browser tab's session storage (sessionStorage) to restore the completion screen.

Because the drafting session is currently linked to a PHP session cookie that expires when the browser is closed, restoration of an in-progress draft after closing and reopening the browser is not guaranteed.

Address search

A search term for a Korean road-name address is transmitted to the Ministry of the Interior and Safety's road-name address search service through UniONE IP Law's same-origin relay server. The service is not implemented to transmit applicant names or information about other relevant parties directly together with the search term.

Cookies and access logs

The website is not currently connected to cookies or tracking tools for visitor analytics or advertising. However, ordinary web-server operations may generate technical access records such as the access IP address, access time, requested address, browser information and response status. These records may be processed to the extent necessary for service operation and security response.

Changes to this Privacy Policy

If this Privacy Policy is supplemented, deleted or amended, the changes and their effective date will be announced on this page before they take effect.
